We are currently offering an HR Administration Specialist with English (m/f/d) position at the Global Business Services Center (GBS) located in Warsaw (Poland) or Porto (Portugal). The role requires advanced administration and organizational capabilities along with the ability to focus on high quality, prioritize workloads, and demonstrate a customer-oriented working attitude.

Responsibilities

  • Providing first-level support via email, ticketing tool and other communication channels.
  • Administration of employees’ data during employee lifecycle (hire to retire) in Success Factors.
  • Preparing employee documents such as employment confirmations, A1 forms, visa letters, contracts, addendums and others
  • Support in coordination of external service providers.
  • Benefits administration.
  • Maintenance of electronic documents according to local law.
  • Review data and follow up on discrepancies to ensure accuracy.
  • Preparation of reports and documents concerning personnel activities.
    Close collaboration with HRBP and other internal stakeholders.
  • Performance other duties as assigned or required.

Qualifications

  • Minimum 2–3 years of relevant work experience in HR Administration in UK and Poland & other European countries
  • Strong written and verbal communication skills in English and Polish (minimum C1 level in both languages).
  • Bachelor’s or Master’s degree in relevant field.
  • Strong customer service and interpersonal skills.
  • Familiar with HR service and processes as well as HRIS tools and systems (Success Factors is a plus).
  • Experience working with a team of HR professionals who are not co-located.
  • Attention to detail.
  • Demonstrated ability to build positive and productive work relationships with people at all levels (i.e. teamwork and customer satisfaction).
  • Operates at the highest standards of business ethics, honesty and personal integrity.
  • Incumbents must respect and protect personal employee privacy and use the utmost discretion when assisting employees with confidential information.
  • A detailed and organized individual who will monitor outstanding tasks and ensure resolution.
